Warren Wilson College invites applications for an Operations Coordinator to support the Operations and Facilities Team under the leadership of the Director of Facilities. This role coordinates the administrative and customer service needs for the department, and acts as a liaison between staff, faculty, students, the Accounting office and external vendors. Key responsibilities include ensuring accuracy of purchase orders and check requests, and managing documentation related to budget expenses, work orders and quotes. Ideal candidates will be highly organized,  detail oriented, and possess strong communication and customer service skills. We are looking for a team player with a positive attitude and a solution-focused mindset, ready to take on challenges.

Minimum Qualifications
  • A bachelor's degree or an associates degree and two years of experience in a similar role.  
  • Two years of supervisory experience.
  • Two years of customer service experience.
  •  Computer proficiency required with special emphasis needed in Microsoft Word, Excel, Google Suite and general database management.
  • A valid North Carolina Driver's License with no restrictions required.
  • Ability to organize and coordinate multiple tasks and projects.
  • Good oral and written communication skills which includes English language and grammatical usage.
  • Ability to take a leadership role in the absence of other supervisors.
  • Skill in maintaining accurate and detailed records. 
  • Demonstrated ability to work with individuals from a diverse range of identities and experiences. 
Preferred Qualifications
  • Teaching experience and/or experience working with college age persons.
Key Responsibilities
Customer Service and Work Order Management.
  • Assigns and organizes work orders using the online work order system.
  • Facilitates communication between customers and Facilities supervisors regarding needs and status of work requests.
Fleet and Transportation
  • Maintains fleet and transportation functions, including managing reservations, scheduling, and maintenance records of the campus vehicles.  
  • Keeps track of all keys and vehicle locations.  
  • Ensures that vehicle mileage per trip is recorded and maintained.
  • Develops and disseminates fleet and transportation policies and procedures.
Flexible Support for Facilities Management
  • Provides support to other Facilities in various activities, organizing critical documents, ordering and obtaining parts, entryway presentation of Facilities building and other activities prioritized by the Facilities Management senior supervisors.
Accounting Support
  • Organizes Facilities documents in google drive and is responsible for organizing quotes, verifying charges, updating work plans, policies and procedures as advised.
  • Enters credit card reconciliation for Facilities and Operations team members.
  • Enters PO and check requests for all facilities needs for approval by the Director of Facilities.
  • Communicates with accounting regarding budget and capital expenditures needs as directed.
Crew Supervision
  • Trains, manages and evaluates a student crew on their work activities.
  • Works in conjunction with the WPO for student work crew satisfaction.
Budget and Inventory Management
  • Assists the Director with maintaining and working within a budget.  
  • Identifies and communicates equipment needs and maintains inventory for departmental needs.
  • Other duties as assigned.
  • Two years of supervisory experience
  • Two years of customer service experience
  • US Driver's License
  • Authorized to work in the US without sponsorship
  • Minimum Associates Degree and two years of experience in a similar role
