This position provides administrative support to the Property Services department, while also serving as backup for the front desk. The ideal candidate will be highly organized, detail-oriented, and possess strong communication and interpersonal skills, with a drive to be an expert in systems and support.

  • Assist with maintaining computerized service work order system.  Includes assisting with follow up to ensure work is done and client is satisfied.
  • Assist with assigning new daily work orders to both internal staff and outside vendors and assisting with coordination of emergency maintenance calls during business hours.
  • Assist with effective and consistent communication with tenants, condo owners, condo board members, building owners, property managers and accounting staff.
  • Manage building access systems, key boxes and gate systems
  • Maintain the recurring work orders process to include scheduling, coordinating and communicating with vendors and Property Managers.
  • Maintain physical records to include receipt collection, filing and compliance
  • Assist with coordinating and maintaining in-house maintenance programs with owners, Property Managers and vendors
  • Assist with local managed commercial property access and requests  
  • Answer phones, greet visitors, and provide general information to inquiries.
  • Support the overall smooth operation of the office, ensuring a professional and welcoming environment.
  • 1-3 years experience in administrative role.
  • HIgh School diploma or equivalent; Associates or Bachelor's degree preferred.
