The Front Desk Associate is responsible for managing patient flow in the office, by moving patients through a predetermined schedule of appointments.

Advanced Orthopedics and Sports Medicine Institute was founded in 2007 with the merger of two of the areas longest tenured practices – Western Monmouth Orthopedic Associates and New Jersey Orthopedic Associates.   • Greets all patients and visitors upon arrival.
  • Issues correct paperwork, including all new COVID-19 consent forms.
  • Provides patients with intake and new patient forms as well as copies of office policies and legally required documents.
  • Collects and verifies all insurance cards for all patients, scans and updates in chart.
  • Accurately enters all demographic information into the computer system.
  • Verifies all information in the system including, insurance/emergency/pharmacy information received from patient for accuracy and all required fields completed.
  • Collects ALL co-pays, co-insurance and any balance due on account.
  • Discusses patient’s insurance or refers to Billing Department if further explanation is required on balance due questions
  • Monitors the flow of patient check- in and check- out.
  • Keeps patients informed of delays.
  • Obtains necessary patient information to meet current Federal guidelines and Meaningful Use guidelines for electronic medical records.
  • Reviews and completes all Outcomes Based Electronic Research Database (OBERD) questions daily.
  • Discusses patient’s insurance or refers to Billing Department if further explanation is required on balance due questions.
  • Scans pertinent patient information into EMR including patient authorizations, test results and recent labs delivered by patient, etc.
  • Obtains patient authorization for medical records release (HIPAA compliance).
  • Checks-out patients after their appointment, schedules follow-up appointments or procedure for new and recurring patients based on Physician and PA/NP availability as per doctor’s request.
  • Provides patient with all necessary paperwork upon check out for procedures, prescriptions or therapy as ordered by the doctor.
  • Notifies the doctor’s secretary of any tests or follow up appointments requiring authorizations.
  • Schedules any necessary appointments after completion of patient visit.
  • Answers patient questions and provides assistance when necessary.
  • Balances daily deposits.
  • Fields phone calls, responds to emails from physicians and staff.
Scans all documents into patient charts and empties the fax in-box.
Reviews and completes the assigned beans.
  • Responsible for timely and accurate completion of timesheets/ time records for hours work and payroll processing. Time records must be completed and approved by employee no later than close of business on last day of each pay period.
  • Responsible for timely completion of all new hire training, departmental training and yearly compliance training (HPro) on an ongoing basis.
  • Performs other duties as assigned by the Office Manager as per business needs.
 
  • Authorized to work in the US without sponsorship
  • 1-2 years experience in a medical offices office
  • Minimum High School Degree
